"First Sun Management Corporation (FSMC) is headquartered in South Carolina with locations in South Carolina, North Carolina, Georgia, and Alabama. Because we have locations in South Carolina we are mandated to ensure that each SC employee has been E-Verified with in three business days. To ensure our business processes are consistent, we implemented E-Verify for all FSMC employees. Once this process was put into place we found out that do to the geographical distances involved, it was becoming very difficult to ensure all paper based packets where received in a timely manner.
Recently the state of South Carolina performed an audit at one of our stores and found that twelve of fifteen employees were not E-Verified with in the required three-day period. As part of our negotiation process, we were able to show the auditor that we were aware of this deficiency and had already put into place a new hiring system, Efficient Forms. This new system would enable FSMC to receive electronic based new hire paper work thus bridging the geographical gap quickly. A demonstration showed the auditor that we could run E-Verify within minutes of the new hire signing their paper work, instead of days or weeks under the old paper based process. We were able to avoid all fines based in part to this new process being implemented.
One additional benefit was the ability to shift the E-Verify role to a single person located in our corporate office. Under the old process we had three individuals performing E-verify process in three different states. This shift has allowed us to reallocate man-hours in the two regional offices and gain tighter control over the whole E-Verify process.
